Now, we’re looking for a highly trusted, detail-oriented, and proactive Executive Assistant / Operations Administrator to step into a pivotal role supporting executive leadership and keeping the business running at full speed.

🔑 What You’ll Do
You will be the central force behind organization, communication, and execution:
Executive & Operational Support
- Own and manage complex calendars across business, travel, and personal commitments
- Coordinate meetings, priorities, and schedules with precision
- Serve as a trusted gatekeeper and communicator on behalf of leadership
Financial & Administrative Execution
- Track expenses, manage payments, and support budgeting/reporting
- Maintain organization across documents, systems, and workflows
- Ensure operational excellence with zero room for errors
Communication & Coordination
- Draft and manage executive-level communications (email, notes, follow-ups)
- Coordinate across internal teams, vendors, and external partners
- Represent leadership professionally in all interactions
High-Trust, High-Adaptability Tasks
- Handle confidential matters with complete discretion
- Manage last-minute requests, travel logistics, and scheduling changes
- Support both business priorities and personal logistics when needed

Must-Haves
- Exceptional discretion and ability to handle sensitive/confidential information
- Strong communication skills (written and verbal)
- Highly organized with the ability to prioritize and stay ahead of shifting demands
- Comfortable working in a fast-paced, evolving environment
- Based in the Dallas-Fort Worth area with ability to be onsite regularly
Nice-to-Haves
- Experience supporting executives or C-level leaders
- Exposure to finance tasks (budgeting, expense tracking, payments)
- Tech-savvy: Outlook, Excel, Slack, Zoom, etc.
- Experience in startups, logistics, or high-growth environments

Work Environment
- Primarily onsite in Dallas-Fort Worth (critical for this role)
- Expect a dynamic schedule—primarily ~40 hours/week, with occasional evenings or travel as needed
